Action Item Tracking Across All Your Projects

Every meeting produces action items. Most action items don't get done on time. A significant number get forgotten entirely.

This isn't a motivation problem. It's a system problem. When action items live in meeting notes that nobody re-reads, or in chat messages that scroll off the screen, or in someone's mental queue — they decay. The more projects you're running, the faster they decay.

How ProjektMind Handles Action Items

When you log a meeting in ProjektMind, action items are captured as first-class records — not just bullet points in a notes field. Each one gets:

  • A clear description of what needs to happen
  • An owner — the specific person responsible
  • A due date
  • A status — open, in progress, complete, or blocked
  • The meeting it came from — so you always know the context

They're stored against the project, but they're also surfaced in the cross-project action item view.

The Cross-Project View

This is where it gets useful if you're carrying 8+ projects.

The cross-project action item view shows you every open action item across every active project — filtered by owner, by due date, by status, or by project. You can see at a glance:

  • What's overdue right now, across all projects
  • What's coming due this week
  • What's blocked and waiting on someone
  • What's assigned to you vs. assigned to clients or third parties

Every morning, this view tells you where the gaps are before you open your first email.

What Sage Does with Action Items

Sage monitors action item status and can surface patterns you'd otherwise miss:

  • "Project C has 4 overdue items owned by the client with no follow-up logged in 11 days"
  • "Three action items from the March 3rd kickoff meeting are still open"
  • "You have 7 items due this Friday across three projects"

You can also ask Sage to generate an action item summary for a specific project, formatted for a client status report or steering committee update.

Action item tracking is included in every ProjektMind workspace.
